Start with the business structure
An independent dispatcher needs a real business foundation before attempting to service loads. Establish the business identity, contact information, recordkeeping process, written carrier agreement, and clear service boundaries. A dispatch business is not an employment relationship and should not be marketed as guaranteed income.
Work for a specific authorized carrier
Direct shipper research and outreach should begin only after a carrier authorizes the dispatcher and provides equipment, preferred lanes, no-go areas, rate expectations, and operating restrictions. Do not locate freight first and then search for a truck. That reverses the carrier-first relationship and can create broker-like behavior.
Build the daily workflow
- Prospect and qualify one carrier at a time.
- Complete carrier onboarding and written authorization.
- Research sources that match approved equipment and lanes.
- Log manual outreach and honor opt-outs.
- Present complete load details to the carrier.
- Record carrier approval before servicing the load.
- Keep rate confirmations, BOLs, PODs, tracking, invoices, and closeout connected.
